A Digital Workplace Structured Around How the Division Works

A division needed a more purposeful digital environment for internal communication, information sharing, and collaborative work. RocketCruzer provided consulting guidance to help clarify how different digital spaces could support these needs while remaining part of a coherent organizational environment.

The work examined the appropriate roles of SharePoint Communication Sites and Team Sites and how they could work together within a connected division-wide structure.

The resulting approach was implemented as a published SharePoint hub with a network of connected Communication Sites and Team Sites.

The Challenge

Moving from Individual Workspaces to a Coherent Digital Workplace

The division's digital needs extended beyond a single website or workspace. Different groups needed places to communicate, publish information, collaborate, and manage ongoing work. The challenge was determining how these needs could be supported through a more purposeful digital structure.

01

Clarify Digital Needs
Understand how the division's different communication and collaboration needs should be supported.

02

Define Purpose
Distinguish environments intended for organizational communication from those intended for collaborative work.

03

Connect the Environment
Create relationships between individual sites rather than allowing them to function as disconnected workspaces.

04

Build Organizational Capability
Give staff the knowledge and practical skills to develop and manage the resulting environment.

The Consulting

From Technology Choice to Digital Workplace Strategy

The engagement began with an organizational question rather than a technology specification: "How should the division structure its digital spaces to support both communication and collaborative work?"

RocketCruzer helped clarify the distinction between SharePoint Communication Sites and Team Sites and how each could contribute to the larger digital workplace. The consulting work then translated those distinctions into a practical structure that could be implemented and maintained by the division.

01

Understand
Understand the division's communication, information, and workspace needs.

02

Distinguish
Clarify the different purposes of Communication Sites and Team Sites.

03

Structure
Develop a connected relationship between the division hub and its individual sites.

04

Enable
Provide staff training and practical guidance for page building and site management.

The Strategy

Different Environments for Different Kinds of Work

A digital workplace does not require every type of work to happen in the same environment. The strategy distinguished spaces according to their purpose while connecting them within a larger organizational structure.

01

Communication Sites

Organizational Communication: Publishing-oriented environments supporting organizational information, news, communications, and broader audiences.

02

Team Sites

Collaborative Work: Focused workspaces supporting teams, working content, collaboration, and ongoing development.

03

Strategic Principle

One Digital Workplace Does Not Require One Digital Space: A digital workplace can bring together distinct environments designed for different kinds of communication, collaboration, and organizational work—while remaining connected through a common structure.

The Architecture

A Connected Division-Wide Environment

The strategy established the division hub as a central connection point while allowing individual sites to serve distinct organizational and collaborative purposes.

The Architecture in Practice

A Strategy Applied Across the Environment

The architecture was applied across a range of organizational environments, with Communication Sites and Team Sites serving different purposes within the connected structure.

The Result

From Consulting to a Published Digital Workplace

The consulting work was translated into a functioning division-wide SharePoint environment. The resulting structure includes a published hub and a connected network of Communication Sites and Team Sites, providing distinct environments for organizational communication and collaborative work.

Staff were also provided with practical guidance for page building and site management, supporting the division's ability to maintain and extend the environment.

The Value

A More Coherent Foundation for Digital Work

The engagement helped translate broad organizational needs into a practical digital workplace structure. By distinguishing communication environments from collaborative workspaces and connecting them through a division hub, the resulting environment provides a clearer foundation for information sharing, collaboration, governance, and future development.

The model also gives individual areas room to manage their own work while remaining connected to the broader division environment.
